Overview
General privacy programmes were built around databases and forms. AI adds new places for personal data to sit and new ways for it to be used: in prompts, in generated outputs, in logs, and inside trained models. This system governs privacy across that AI lifecycle, from the personal-data inventory and data-flow records to AI privacy impact assessment, privacy by design, transparency, individual rights, retention and cross-border transfers.
It is law-neutral by design. You build a jurisdiction profile for each law that applies to you, with your legal advisers, and the system records how each obligation is met. No legal content is pre-filled for any jurisdiction, and the system is not a GDPR or ISO/IEC 27701 toolkit. Its privacy control framework is cross-referenced to ISO/IEC 27701:2025, ISO/IEC 42001:2023 and the NIST Privacy Framework 1.0. Standards are referenced by number and title only, and no standard text is included.
What this system covers
- Privacy governance: a jurisdiction profile template, legal requirements register, regulatory applicability matrix, RACI, KPI and KRI register, training record and management review.
- Policies and procedures for AI personal-data processing, privacy risk, AI privacy impact assessment, privacy by design, transparency and notices, minimisation, retention, individual rights, generative AI, third parties, transfers, incidents and evidence.
- Inventory and data flows: an AI and personal-data inventory, a processing activity register, data-flow mapping, and recipient and sharing registers.
- Risk and impact assessment: screening, method, report template, action plan and reassessment triggers.
- Rights and transparency: records for profiling, automated decisions, human review, and searching AI systems when an individual makes a rights request.
- Generative AI, suppliers and transfers: generative AI privacy, third-party AI privacy, retention, data location and cross-border transfer assessment, and privacy incident response.
- Assurance: a statement of applicability, evidence records, self-assessment, maturity and gap assessment, mock audit, corrective action and a 90-day plan.
Who it's for
The AI privacy lead, DPO or privacy officer who runs the system, working with AI system and product owners, legal counsel, procurement, information security and internal audit. It suits organisations already running a general privacy programme that now need it to reach into their AI systems.
For a general privacy information management system, see the PIMS ISO/IEC 27701 toolkit. Data quality for AI is covered by the AI Data Governance & Quality Management System.

Are the documents really editable?
Yes. Every file is native Microsoft Word or Excel — no locked PDFs. Add your logo, change wording, and tailor the content to your organisation. The toolkit is yours to keep and reuse.
Does this certify my organisation?
No. These are documentation toolkits aligned to the relevant standard to help you prepare. Certification itself is issued by an accredited certification body after their audit. Our toolkits give you a strong, audit-ready starting point.
How is it delivered?
Instantly and digitally. There's no physical shipment — you download the files right after payment and receive a backup link by email.
Do I get updates?
Yes. If we revise this toolkit, you're entitled to the updated version at no extra cost — just contact us with your order details.
What is your refund policy?
